What PPM solution would you recommend?

I am looking for a solution that my organization (<90 staff) can use to manage our portfolio and resource allocation.

We are beginning to use SharePoint for work flow and collaboration, and our IT team has a solution in mind. I am not confident it is the best option, and would like to get some "external" recommendations.

In our organisation we use HP PPM solution but then your resource strength is small so i am not sure if it will be feasible for you.

Thank you for that link Mandeep. That is quite a list, and somewhat overwhelming.

I tend to agree that the HP solution is more than I need. I have experience with Clarity, which is similar in terms of breadth and complexity.

Does anyone have experience with any other PPM systems that are appropriate for the mid to small market? Can anyone recommend systems that we should add to our list for evaluation?

Hi Michael,

Currenlty in my project we are using CA-Clarity PPM it is very good Project Portfolio managment tool.
CA - OWB (Open Work Bench) helps to main the schedule.
Price and License you may have to look as size is small.

Thank you for those recommendations Ganesh, that is a very helpful list.

I had thought about Clarity, as the IT organization at a previous organization used it to manage its portfolio as well. That said, I think it would be perceived as too overwhelming at my current organization.

Michael, what has your IT dept found? I have a similar situation here- HP PPM or Clarity would be great but are not affordable. Similarly, we also cannot use Sharepoint as our MS licencing means we would have to buy Sharepoint licences for every desktop in the organisation. Also, we cannot use cloud-based solutions, they must be locally hosted. I'd like something that integrates with MS Project and ideally with Outlook too. Have yet to find anything suitable at all, but I will go through the ones that Mandeep kindly shared with us.

My IT organization has not evaluated any solutions to-date - they are generally looking for the business to provide recommendations. That said, they did recommend one SharePoint-based solution, BrightWorks. We implemented the free version of this tool, which has some nice features, but we haven't compared it against other options.

Personally, I have years of experience with Project Server. But to be fair, I would suggest you do some research on Gartner Magic Quadrant for PPM:

I agree. I also use Gartner's Magic Quadrant before purchasing any PPM tool.

You need to also make a short requirements (mandatory ones) list on what you need from a PPM so that you can narrow down the pool; e.g. reporting requirements, functional requirements/feature sets, response time, cloud based or not, etc.

Some of the web-based PPM tools have a free trial for a few weeks so you or your staff may want to try and check them out as well.

We evaluated couple of PPM solutions especially offered by Oracle (Primavera) and Microsoft (Project Server) based on our requirements. We opted MS Project Server due to its low cost, better flexibility of integration with MS Dynamics AX, SharePoint portal and MS Exchange server. The major challenge we are facing is that our planners want to keep stick with P6 client application. So, we decided that for scheduling, P6 will be utilized whereas MS Project Server for portfolio management, planning, schedule updates at later stages, monitoring & controlling etc.

We may start implementing MS Project Server 2013 next week.

Analyze your business requirements and constraints (like cost, integration with P6/ERP , flexibility of custom development etc.) thoroughly before choosing any PPM solution.
