Effective prompt to manage vendor managed QA testing governance

Hi all,

I’m working on improving vendor management for our QA testing partners. I want to build a centralized template to track multiple projects and use the same structure for generating executive slides for C‑level reviews. Sharing my current prompt below :

Happy to hear better suggestions

Prompt : Role : You’re a seasoned project manager with experience in software quality/test management.

Task : Generate a template to manage multiple QA project ran by vendor to check check are we on track of delivery, milestone validations, identify risk, identify blockers. burndown.

Format : Excel template in timeline chronological order with key milestones marked and other key things

Great initiative. Standardizing governance for vendor-managed QA is already a strong step toward maturity.

A suggestion: instead of asking only for a tracking template, elevate the prompt to reflect governance logic. Executives are less interested in activity and more in decision-relevant signals. You may want the template to explicitly connect four layers:

  1. Delivery health – milestones, burndown, defect trends, environment readiness.
  2. Risk exposure – top risks with probability, impact and mitigation owner.
  3. Value protection – test coverage vs. critical business processes, escaped defects, release readiness confidence.
  4. Governance triggers – predefined thresholds that automatically flag escalation or steering decisions.
This shifts the template from reporting to decision enablement.

Also consider distinguishing leading indicators from lagging ones.
Burndown and defect leakage are useful, but early signals such as requirement volatility, re-open rates or test case churn often predict downstream instability.

Finally, if the goal is reuse for C-level slides, design the Excel structure backwards from the executive narrative.
One consolidated health index, supported by drill-down tabs, keeps conversations strategic rather than operational.

Your current prompt is a good start.
With clearer intent around governance, thresholds and decision rights, the output will likely become far more powerful and scalable across vendors.

First of all, you are using a right format for your prompt: Role, Task, Format. With that said, just remember that the only thing the generative AI will do is to complete your prompt with the results that exists in the LLM with the highest probability to be what you expected as output. Becasuse of that you have to perform consistency checking (the same answer with a different prompt format (at least 3 different ones) and check the answers) and trust checking (ask to add references in the answers and check this out). The other key things is to give more context in the prompt. What it does mean seasoned? What it does mean project manager in the organization? What is the project characteristics (at least the key things that could appear inside the charter)? What type of software are you creating? What type of testing? What is your testing process (at leat the phases)? It is quit impossible to get a good answer that address your "Format" options without a better context

When you have the expected answer in terms of the testing process then create other prompt giving characteristics and profiles of your executives to create the rigth presentation

Other recommendation: you will find answers to your question crated by generative AI. My recommendation is do not follow them.
