Mini PPM Tool design for tracking Projects.

Dear Members,

We have started building our own mini PPM Tool for tracking our projects.
We have following at present to capture:
1. Project Progress update
2. Important milestone and its dates and Status.
3. Risk, Issues, Dependencies its Dates and Status.
4. Resource Planning for the year.

I would like to take your expert guidance / ideas on how best i can enhance this mini PPM tool to support and track the projects.

In terms - Reports - what are all the reports i can consider? based on above information.

The first thing that comes to mind is that your mini-PPM system is proprietary and custom. For some reason, you have decided to build rather than buy. Why? If it is a cost consideration (understandable as PPM software tends to be expensive), then you can look at the features in other PPM's to see what would be useful. If your mini-PPM is due to deficiencies in the off-the-shelf PPM software, that's also understandable, as not all companies work projects in exactly the same methodology. In any case, the user community of the mini-PPM should be able to help you determine what features are necessary/mandatory, desirable/optional. Perhaps a survey of the people who will use the mini-PPM will help you decide what features are considered valuable, and in what order to add them.

Dear John, Thanks for your kind reply.
1. Yes you are right due to Cost, it has been decided to have it in-house.
2. I can compare market PPM, but it I felt since its small projects (support) in nature , we dont handle like development projects.
3. Yes I'm also currently discussing with PM's on the same, but as u know they have other priorities on deliverables it is not coming up well, and thats the reason for me to pitch in here also.

I'm not looking for something big enhancements, but want to do some small small improvements in the mini PPM tool we have built in, if any help i can get here is timely help.

I also ask members if they can suggest me any reports that can generate.

presently i export as a dashboard based on the information updated in this tool.

I would include how the project aligns to the organizational strategy as well as project selection process and criteria information.

If you can include an AON critical path representation, I think it would help people. Things to build in, or plan for might include lead and lag times for items.

Gina is correct: the important thing about the PPM tool is how well it supports/addresses organizational goals and KPIs.

Ganesh,

Your Organization Strategy should not be part of your control and monitoring. It belongs in your planning.

You want to show organizational KPIs, their current values and how much they have changed.

For example: a hospital could have wait time and hosocomial infections as KPIs. The KPIs should appear on every status report to see how progress against projects impact them.

Make sure each project can be traced to one or more organization KPI.

Since its very small projects can also be said as initiatives, I seek your help to determine, what i can capture additionally.

I'm presently capturing following in our Mini PPM Tool
1. Current Progress
2. Next Steps
3. Milesstones
4. Risks / Issues / Dependencies
5. RAG Trend.

I'm Planning to add following.
1. Decisions Taken
2. Decisions to taken.
3. Action Items
