Project Checklist Automation

I recently moved from a senior project manager role to Program Manager at a new company and with a group that has not had any sort of program up to this point. The team is made up of ten or so technical resources that focus on system audits, analysis & project recommendations, and deployment. Up until now, the individual resources have been left to their own whims on how they manage their tasks. As such, consistency and timely delivery have begun to suffer; hence why I'm here.

In the past, I have always used a series of policies and coordinated documents (Excel, Word, PDF, etc.) to support each document. An example would be an Excel Audit Checklist that, once completed, could be used to manually fill out a customer facing Audit Template and presented to the customer as the primary deliverable for that leg of the project. In this case, the work is repeatable and only has so many variables so it would lend itself well to this approach.

However, what I would like to explore is having some of the manual activities automated. For example, one of the technical resources completes a web based checklist that automatically populates the customer facing template which can then be printed or downloaded for storage/email. A more complex example would be multiple checklists and multiple outputs that could also be stored under a specific project.

Does anyone know of a web based or server based application that would accomplish this?

I haven't done something exactly like this, but it feels like this could be achieved through SharePoint (documents/forms and workflows)

Thanks for the suggestion/insight. I don't have access to the company's SharePoint site yet (still waiting on company laptop), but I think I can get close using the Workflow options to build out that automation.

Does anyone else know of an alternative to SharePoint that could be used to build a workflow to accomplish the same goal?

We use a progamme called Enterprise Wide Project Management (EWPM or EPM). There are a few others in the market.

This will sound like an advert but I really don't work for them or have any financial gain from this. I've used a web based PM suite called Clarizen that was an excellent solution for what you're thinking of doing. The on-line Gantt scheduler with Add-in Apps include capability for forms, cost accounting, Excel docs, data warehousing, reporting, etc. This is an excellent alternative to Microsoft Project (Enterprise). http://www.clarizen.com/
