Regarding Emails
– Reduce them – don’t reply all
– Does everyone needs to get the answer on everything?
– Is it enough with just a specific reply? then don't reply all...
– Include only the proper people in the to: section
– Include only the proper people in the cc: section
– Be careful with the bcc: use it properly
Effectiveness of Email depends on company to company !!

Manage your time
* Know the time of day you are most effective
* Block time in your calendar during your effective period
* Block time before and after recurring meetings to give yourself room to work.
* Set up recurring appointments as reminders/reservations for frequent work.

Manage your emails
* Set up a time delay, say 3 minutes, in your email delivery. You will be amazed how many times you will go back and delete or change that email before it is sent. (I have my rule set to not delay if I flag the email as important.)
* Leave an email in your inbox until you have completed everything you need to do. If you send an email, expecting a reply, save a copy of the sent email in your inbox with a low priority. (It helps if you set up your inbox view to group emails by priority.)
* I often have emails that have a list of tasks for me to complete. I edit the message and apply strikethrough font to a task I just completed.

Don't use emails for project communication. Instead, build a knowledge-base:

1. Organize all incoming messages by subject and include them in corresponding categories (groups).
2. Maintain the access to the filtered message lists for all the team members/stakeholders, project by project.
3. Associate outgoing messages by subject and correlate them with the incoming ones.

What you will get is a minimum number of messages, very little content duplication and/or email trails, with a maximum audience for any/all interested individuals. You might lose some privacy, but the project team does not need it anyway. There are phone calls for that.
