How do you define a project notebook?

Our department uses an excel based "project notebook" in lieu of a PPM tool. We have tabs for risks, communications plan, issues, etc. Would like to see how others define a project notebook and any examples that can be shared.

I believe that by Project Notebook you may be referring to the Project Management Plan, which includes all the information listed in your message plus many more (i.e. Quality, Stakeholder management, change management, etc.). You may take a look at Project Management Plan templates and see if they fit your needs.

The project management plan is much bigger than the project notebook, Eduard. The project management plan will include all the processes, people and technology involved in managing your project.

The project notebook usually consists of a collection of project artefacts: change register, issue log, risk register, ...

They are collated together in a spreadsheet for convenience - one place with everything - and to make it easier to prepare a consolidated status report.

I use them frequently on smaller projects where I am not worried as much about having multiple documents opened simultaneously.

I've seen in some companies using excel files for project proposals, but never was 1 excel for all project plan, because sometimes budget, travel costs and resources plan is confidential and we can't share it.

Indeed, Stephan, I am aware of the difference between a project management plan and a project notebook. But the way the question is put out led me to believe that the poster was mixing both concepts. That being said, I always learn from your insightful comments.

And I learn from your thoughtful remarks, Eduard. The separation between the two is not always clear cut. In this case, I'm not sure that I would put the communication plan in my project notebook.

Thanks for the insights and discussion, everyone. I'll share that the contents of the project notebook seem ill defined or not standardized with our leadership - so thought I'd ask the experts. In actual practice, our spreadsheet notebook does not contain all components of a project management plan, but some stakeholders are expecting that.

A Project Notebook may include project records such as correspondence, memos, meeting minutes, and other documents describing the project. This could be either stored physical or electronic.
