How can we ensure that meetings with the project team are effective and the true scope of meetings can be given?

We sometimes focus on holding meetings with the project team to review performance and these meetings sometimes get out of control because more issues and difficulties can arise.

The agenda should be circulated before meeting to avoid any conflicts, and there should be some one chairing/leading the meeting to control things

I agree with Mudassar. The meeting chairperson should send participants an agenda before the meeting. The chairperson should then stick to the agenda, and new issues that arise during the meeting should be written down for discussion at another time. The chairperson must not let the meeting get sidetracked, or it will be ineffective and a waste of everyone's time.

Exactly. If you plan to schedule a meeting, include an agenda - then stick to the agenda. If other items arise, either they deserve a different meeting, a conversation amongst a couple members, or simply an action item/takeaway.

All too often, and we've had threads around this, meetings and other individuals time is not respected. Nothing is worse then receiving an invite with no agenda. Second to that, is sending an agenda and not following it.

- Keep it timeboxed, collect inputs and discuss
- If topic is getting diverted, meeting organizer should break the conversation and bring it back to agenda.
- Try to be solution oriented rather than just discussing the different aspects of a problem.
