Action Items Management

Objective: Distributed management of Action Items (a.k.a. Follow-up Items) across the various projects of a large program

We would like to give our Project Managers access to a tool (and supporting process) that allows them to manage all the action items in a centralized database.

Features highlights:
- Possible action fields: Unique ID, Owner, Meeting Name, Joint Flag, Phase, Country, Date Raised, Description, Target Date, Closure Date, Comments / Progress, Status
- Existence of rules on fields, e.g., only Action Owner can update fields for an action; upon status set to Closed, Target date must be set, etc
- Automatic notifications to Action Owners, e.g. notification 3 days prior to Target date
- Enhanced Reports, e.g. “all past-due items” report
- Able to transfer ownership
- Keep a log of the changes to the following fields: Target date, Ownership

Ideally, we are looking at an off-the-shelf product. Thanks in advance for your help in identifying that “magic” product.

Luc, you might wanna look at the bigger picture before you scout for such products. I fear that you might be adding another disparate solution in your organization if the motif is to solve the current problem at hand. Think of the related areas (Action Items could be realted to Testing, S/W Development, Issues, Defects, Project Management, Process Improvements etc.) and go for an enterprise wide app.

I have not come across a tool which tackles action item management in isolation. As the previous post rightly points out actions are always related to something - eg projects, issues etc. Some project portfolio management tools have this as an integrated feature, but the cost of the system may be prohibitive if you only intend to use the actions part of it. Try looking at Hydra or ChangeDirector

Luc, it sounds like you have a specific need in mind that seems to be unique to your organization's processes. Typically to fill this need you would have to develop it.

I've used SmartSheet in the past and was able to implement some of the points you've mentioned.
