Sorry Peyman, can you provide some clarification for your question? It might be perfectly reasonable for a team to issue more than one RFI if those are for separate products or services. A PM is responsible for ensuring that the RFI follows his/her organization's procurement policies, is issued in a fair and equitable manner, and directly aligns to the scope & requirements of the project. Depending on the organization's practices, the team might create and issue the RFI themselves or they might provide the raw content to an analyst within a separate procurement department who takes care of this.

Two RFI (Request for Information), I have not heard of it and would also like to know, however if the query is, can we have 2 RFI? I think, Yes, if the information required is for different product or services as mentioned by Kiron. Irrespective of whether it is RFI, Request for Proposal (RFP) or Request for Quote (RFQ), a Project Manager role is to ensure that all these should result in fulfilling the requirements of the project on time and within the budget. Since this involves other departments of the organization like Procurement, Legal etc, it is also very important for the project manager to provide clear details on what is required for the project, what is not required and what can be compromised. If there is no clarity that might result in low quality, delay in terms of schedule and also increase in project costs which could be risky.

The larger the project, the more likely there will be more than one RFI; this is not uncommon.

Depending on the policies and standards of the organization, procurement departments are there to provide the expertise on contract management in support of the team, but the team is still expected to provide critical inputs into the procurement process and to be the first point of contact for contracted vendors.

The specific roles & responsibilities do tend to vary by organization - in some, procurement requires that teams and PMs maintain an arms-length distance from vendors whereas in others procurement merely plays an advisory role.

Do I understand correctly, Peyman, that the RFIs are issued from your project? If so, you will have to negotiate the roles and responsibilities with your procurement organization. The procurement unit often leads these type of procurement requests.

Hi Stephane, yes RFI is for any project, But RFI ( Request For Info) shall issue from PM only and Procurement Manager can raise issue for procurement items but there are many other aspects such as mobilization, HSE , QA/QC, Permits, Environment Impact, etc. not under Procurement Department and Procurement Head can not be lead for such aspects... what do you think?

I think you need to talk to your procurement manager and clearly delineate what procurement will do and what your project will have to do.
