I guess you are using an Agile based method: Scrum (in fact it is not a method, it is a framework so you can fill it up as best fits for your initiative). If that is your situation then my recommendation is searching for this topic into Scrum alliance. On the other side, if you are member or linkedin post your question inside this community: https://www.linkedin.com/groups/37631 (Agile and Lean Software Development). Usually, two weeks sprints could have 4-6 hours planning. But while it is a rule (I have experienced it lot of times) it depends on lot of things related to environment. Saving Changes...
One of the reasons that sprint planning takes longer than it should is if insufficient lookahead modeling & planning (in conjunction with the expected backlog refinement) has been done.
It's important to reserve 5-10% of the capacity of key team members to look at the likely work items falling into the next 1-2 sprints to ensure they are sufficiently elaborated that the team can commit to them when the sprint commences.
My first question is, "What is your planning process?" I'd have to know what you're doing to identify if there are ways to streamline what you are doing.
I hesitate to ask the following questions, but only because they jump to problem solving before I even understand the situation. The situation in question is common enough, that I'm okay asking them, now.
- Are you the decision maker?
- If not, is the decision maker in the room during planning?
- Is the rest of the team in the room during planning?
- Is there enough detail in the stories that the developers are able to ask clarifying questions, as opposed to eliciting requirements from scratch?
You don't have to answer these questions. I just wonder if the duration you are experiencing is due to factors you can control, or dependencies on other people that you cannot control. Saving Changes...
2 days planning is excessive for a 2 weeks sprint. Perhaps grooming the backlog was not done in the previous sprint causing more planning time in this sprint? Saving Changes...
