How to Handle Meetings/Discussions in SCRUM

We have instituted a SCRUM methdology and we have finalized our product backlog and our first sprint. One thing to note is, in addition to our daily meetings, there are some tasks that have steps within that require a meeting with resources that are not part of the scrum team. For example, we may need an hour long meeting with the business owner, and the programming team to get feedback on an item within the sprint that has been completed. This is not related to the daily 15 minute meetings. How are meetings handled? Should I include them within the sprint, with the associated hours (work cannot begin until these meetings have been completed) or what would be the best way to handle?

Typically, tasks in the product backlog are further decomposed to form the tasks in the sprint backlog. In general, I tend to like to see sprint-level tasks at a granularity of 4 - 8 hours so we can see daily progress without an overwhelming amount of tracking. I would let the team decide how they want to track these extra meetings. Can the feedback meeting on sprint items be part of the sprint review meeting instead? Or can the team members take it upon themselves to informally touch base with the business owner as appropriate?

Try to map any formal meetings into the sprint planning and sprint review meetings and use as needed informal meetings during the sprint itself. Of course Scrum always has to be adapted to one's own particular corporate culture, but try to streamline for efficiency during the actual sprint.

One thing you can do is plan for these meeting and create a task that counts towards your sprint. If the meeting is 1 hour and takes 2 team members than that task should be estimated for 2 hours.
