From Project Documents to Project Intelligence: How I Use AI as a Project Knowledge Base

Project managers generate an enormous amount of information. Statements of work, project plans, meeting transcripts, status reports, action items, risks, decisions, schedules…all contain pieces of a project's history. The challenge is not generating the information; it is finding, connecting and using it when needed.

I have started using ChatGPT differently to address that challenge. Rather than treating it simply as a tool for writing emails, summarizing meetings or generating content, I am using it as a working project knowledge base—something that increasingly functions as a second memory for managing my projects.

From my experience, almost all projects start with the signed statement of work or contract. The SOW or contract establishes and identifies what the client has purchased, what we committed to deliver, the assumptions behind the engagement, responsibilities, deliverables, timelines, costs, hours, and boundaries around scope.

I load the SOW or contract into ChatGPT, which now lets me break down the engagement into practical project-management components such:

• Tasks
• Workstreams
• Milestones
• Deliverables
• Responsibilities
• Dependencies
• Meeting agendas
• Timelines
• Risks
• Potential out-of-scope requests

This does not replace my interpretation of the SOW, but it gives me another way to continuously compare what is happening …
