Need More Date for Decision Making!!

Hi,
For given situation on making any change on existing Infra, client seeks more data to make decision. How do we handle client who relentlessly seeks more data than required to make any decisions.

E.g. production database server has hardware problem. We had submitted growth rate of data, cutoff date until which DB can take load and beyond cutoff, it will impact production . Client started seeking more information every other week and team spent considerable data in gathering evidence to prove point that DB server has HW problem.
Finally, we reached stage, when production DB H/W failed, impacted live transaction and later we were given approval to replace H/W

Client Justified that data given by us were not sufficient to make decision and it resulted in failure.

a. How do we handle such client who postpone decision until last moment
b. Can we set guidelines / set their expectation that they cannot keeping asking the questions forever before things get out of hand.

Not all organizations are good at making decisions. It is not all that uncommon for meetings lead to further meetings scenarios. One piece of advice would be to clearly elicit what the defined criteria and thresholds are, then regularly speak to that when providing metrics. Unfortunately, as witnessed, the final decision sits elsewhere. Simply make sure your data and documentation are sufficient.

A couple of things to consider the next time this situation emerges:

1. Ask why the client needs the specific additional data elements they are requesting - how will it help them make their decision?

2. Be transparent regarding the cost of delay - it's reasonable to defer decision making to the last possible minute, but we can't always time that perfectly, so help them understand the risks of waiting for complete certainty.

Have decision gates like any other gates in projects; a practice which seems pretty rare.

In conclusion, you should gather all necessary information to make as documentation then you should meeting face to face to discuss any issue and study, generate ideas and solutions after that you can implement decision...
