What tool do you recommend to use to document meetings?

On several occasions it is necessary to document the meetings, and follow up on the agreements. Some tools that can help document and that everyone has access. Also the follow-up to commitments

I generally use Word. All internal and external stakeholders can read the files without additional software. It enables password protection and tracking comments. They can be easily archived on a server, and if the file names are managed properly, existing links will still point to the latest version/date. Unless MS goes out of business, there is little concern that the software will become obsolete and files will become unusable in the future without a dedicated machine running Win 95 or something.

I'll typically follow up during project meetings or offline via phone and email, and document those specific discussions via email. Updates to the status of all actions (not necessarily the details) will also be communicated and documented in the team project meetings.
Thanks Keith, actually I use MS word as well, but when I can't find some decision or fact is not the best way, also the tracking of compromises it is hard.

Become clear about your requirements before choosing a solution.
How about persistence, searchability, access control, dependencies, ownership etc
If its a legal requirement ask them what it needs in your legislation. E.g. in Germany you need to be able to reproduce project documents for minimum 10 years. Had such cases when our IRS looked for evidence.

I've used SharePoint and Confluence before. Alway's a go-to is OneNote. Available on all platforms (PC, Mac), web-browsers, and mediums (computer, tablet, mobile), easy to use, and if Office 365, can live share with a larger group, else can share via email.

So long as it is not distracting to the group or the scribe, I'd suggest keeping the actions visible to all as the meeting is progressing rather than waiting till the very end (or even worse after the meeting has ended) to confirm shared understanding of the actions and who the owners are. The minutes themselves can follow afterwards, but I've been in too many meetings where there was a difference of opinion about who was responsible for exactly what.

Collaborative platforms like Confluence might provide greater opportunity for feedback and confirmation of content but there will be the need to be able to baseline what was decided upon in the event that the content changes later on.

You can use many collaborative tools, including:
- Google Drive
- Dropbox
- Asana
- Trello
- Google Hangouts
- Skype
- Kanban boards
- Microsoft teams
The important thing is to define what you want, the level of confidentiality you want and the data protection required by the situation
The variety of choice is immense

The process has several different phases and obviously you would use whatever tool works best for each phase. Personally I prefer to record using pen and paper. I've tried digital tools but it is not very practical if no dedicated scribe is present. The suggestion to make actions visible during the meeting is also very good since it makes closing out the meeting easy because everybody can see what was committed. After the meeting, I normally use MS Word to convert my scribbles (notes, mindmaps) into a formal document. Depending on the type of project the action list might be a separate document or digital tool but I prefer to keep it all in one document. Distribution could be old school i.e. email but preferably you would want to use some collaboration platform for traceability and versioning.

Webex has a new transcription feature for their recordings. You have to search around for it, but it's there. A work in progress - It does a fair job, but it's easy to correct the errors. For instance it translated "Anita" to "I need a" and "Shandelle" to "Tex and Dale". The last one was pretty funny - Shandelle has new nickname!

That's really interesting. Does it just provide the transcription as a word (or whatever) file that the call organiser downloads?

It can be done by many ways. One simple solution is, once meeting is finished the facilitator/scribe can create one document (MOM), capture the minute meetings, items agreed upon, suggestions etc. and send to all participants that this is what has discussed.
Second option is upload that document on share drive like share point or confluence. Create document with date at the end so it will help all to get easy reference like (July_MOM_07-06-2020.doc). Send email to everyone stating that please review it and feel free to update if needed with new version (July_MOM_07-06-2020-1.doc)
