Tools you have found effective for remote team collaboration

Hello everyone - I would love feedback from the community on what tools you have found useful to get and sustain engagement with team members remotely. Here's my problem - I have a variety of tools on hand including Jira, Teams, Trello - and all staff are very excited when they first see them rolled out because they address their top complaints - but when I implement them I find that they aren't used. I am a firm believer that tools aren't the miracle solution - so if there are "soft techniques" you've applied to get them to the tools - I would be interested in hearing about those too....

I would say there are two components to this - the fit of the tool and the readiness of your team.
First, it is important to pick collaboration tools that fit your style of working or can be modified to fit your process. Working remotely is a challenge in itself, you do not need to reinvent the process as well. Pick a tool for communication as well as project management. Ideally, I would look for something that supports the ideas behind asynchronous communication and allows you to minimize the number of required meetings.

Second, your team has to be ready and motivated to work remotely. Going from the office to remote permanently is a big change that presents challenges on its own. Some people will thrive, while others will miss live communication. So, make sure to hear everyone and be ready to substitute with team events, in person meetings, etc.

For remote teams, tools work best when paired with habits. Use Teams/Slack for daily touchpoints, Trello/Jira for clear task tracking, keep boards simple, and celebrate small wins to motivate adoption. Short training and consistent usage reminders help. Tools alone aren’t enough—people and routines make them effective.
