Great question here from Claudia. I am also in consulting and would love to hear what others have to say about this. I will see this as a readiness stage gate process where the further we progress to the end, the more ready we are it integrating in in our workflow. There should deliverables at each gate and a quality control performed to move to the next stage. I will start working on a gate readiness process to integrate GenAI into the project delivery process

I would say that there are checklists, within AI and automation projects. If the project business case is accepted the AI and automation checklists are focusing on existing data lake, the required processing capacity, the connections' bandwidth, the port security restrictions, the type of automation, the best models to be used, the external provided bots' usage restriction, aligned to the project budget. Additionally, embedded products like, MATE, ENABLE, EDNA, SQM or automation Dashboards, come with specific prerequisites and checklists.

In line with Rami, as Consultants most of our toolsets are dependent upon the scope for the customer, and the customer's appetite for AI. We have some tools (note takers, copilot, etc.) however anything that is not in line with our customer's values firms can be asked to refrain from utilizing such tools. I've had first hand experience with this, one of my customers specifically asked that AI note takes not be utilized, or attend their zoom meetings. Interestingly enough they actually started to use the tools themselves near the end of the project, and being able to see the adoption first hand gives hope that one day we can find a balance.

While we don’t yet have a formalized checklist specifically for Generative AI, we are building readiness through a structured framework that includes key protocols:
Policy Review and Development:
We are reviewing existing academic and administrative policies to address ethical considerations, data security, and intellectual property concerns related to Generative AI. This ensures our institution remains compliant with relevant regulations and respects data privacy.
Risk Assessment Protocols:
Our IT and academic leadership teams are developing guidelines to evaluate the reliability and biases of AI-generated outputs. We’re exploring tools to audit AI models, ensuring their application aligns with our educational goals and quality standards.
Capacity Building and Training:
Faculty and staff are being introduced to Generative AI tools through workshops and training sessions. The goal is to build confidence in identifying potential applications in curriculum development, administrative efficiency, and student engagement.
Pilot Testing and Feedback Loops:
We’ve started piloting Generative AI tools in limited-use cases, such as automating course outlines or drafting administrative reports. These pilots include robust feedback loops to assess outcomes and refine protocols before scaling up.

Thanks Claudia and Rami, I am still a student (MBA/MPM) and thanks for the opportunity to share my 2 cents. Considering that GenAI works best with unstructured data, a good way to create an internal process to develop the strategy to include GenAI would be to conduct a Design Thinking workshop. This way ideas can be brainstormed, proto-typed and assessed as to what fits our organisation best. There's no one-size-fits-all protocol I suppose, but this robust approach could help and is agile too.

Hi Claudia, thank you. As a mater of fact, I did a post last week on my LinkedIn as to how we can utilize AI in the construction industry because AI can add lots of value if properly utilized on Construction Projects. Some of those benefits include:
1) Predictive Analytics: Using AI algorithms to forecast timelines, material requirements, and potential risks, optimizing planning and scheduling.
2) Computer Vision and Drones: AI-powered drones equipped with cameras to monitor construction sites, track progress, and identify safety hazards.
3) Generative Design: Create and optimize designs based on project requirements, site conditions, and material constraints, enhancing efficiency and reducing waste.
4) Quality Control: AI-powered systems to inspect materials, identify defects, and ensure compliance with building codes and standards.
5) Autonomous Equipment: Integrating AI into construction machinery for autonomous operation, improving efficiency and safety on site.
6) Supply Chain Management: Using AI to optimize supply chain logistics, predicting material needs, and streamlining procurement processes.
7) Smart Project Management: Leveraging AI-driven platforms for better project management, collaboration, and decision-making driven by data insights.

I completely agree! Generative AI (Gen AI) has emerged as a valuable tool in the construction industry, and my experience aligns perfectly with your post.
While I'm still exploring the full potential of Gen AI, I've already found it beneficial for tasks like:
Crafting Project Scopes: I use it to help with phrasing, identifying potential omissions, and ensuring clarity.
Developing Communication Management Plans: it has assisted in personalizing communication for stakeholders and automating report generation.
Building Risk Registers: used to analyze data to identify potential risks and suggest mitigation strategies.
I am optimistic about Gen AI becoming a true partner in streamlining project workflows. As we continue to explore its capabilities, I believe it will become an indispensable asset in the construction industry.

Rami's approach is very interesting, regarding the areas in which AI can help in the construction industry.
I am no longer involved in construction, I participate in the development of projects in the mining industry, in the past I was Construction Manager of many small and medium-sized projects in this industry.
Based on my experience in this area, I have some comments on this matter.
For example, as he thinks, I believe that time must still pass to obtain results and we will surely also have lessons learned regarding the use of AI in this industry.
There are cases in which it can be very helpful and very practical, such as the use of drones to film the progress of works and for AI to analyze the progress, I agree with this, for a general view of the progress, when progress is made in this sense it will even serve to prepare the payments for the project valuations.
However, to apply statistics on what has happened in other projects, a lot of information is required, and above all, the application of similarity of factors, in order to have valid projections that can be applied to budgets, schedules, security, etc. In this sense, I believe that AI will help, but the Project Managers' own evaluation will be very necessary to use these statistics, since there are many human factors that introduce these variations and it will be much more difficult for AI to offer experiences that are truly valid.

Project managers are not only supposed to create and manage project plans, we are to be business leaders within our organization. To add value by understanding the business, we need to know the business. Large and even small organizations have substantial knowledge bases. As PMs we are often assigned to a project using a technology, product, service we are unfamiliar with. With AI tools we can ask the AI service to analyze an organizations entire content management system and provide small , medium, or large deep dive into the product, service, or technology we are onboarding into for the project. Sharepoint, Service Now, Notion, etc. There could be hundreds or thousands of pages of information, would it be nice to get a 10 page report on everything the company has noted about a product or service. This helps the PM in a hour read understand enough to reach out to Stakeholders the day after project assignment and be able to have some hope of an intelligent conversation and add value and perhaps even a project execution approach to share with the sponsor.

There are several AI developments within the medical software industry and not all of them have been well received. Our most successful is using AI to review patient health information for improved patient care by providers. we have just scratched the surface of what we can do, but with patient safety in mind, there a lot of in-depth testing required before implementations.

All, while I appreciate that we take the time to think strategically about an implementation of Ai, I am struck by the lack of clarity in how an enterprise would carry out an Ai adoption program while maintaining it's operational and proprietary data secure. Perhaps my question exposes inexperience. Using chatbots to document meetings and tasks is great, but some companies may not want their work and interactions with vendors training the publicly available models, even with premium agreements. LeanIX last year sponsored a BCG presentation on LLM gardens. That enterprise has to add a new and expensive layer in it's architecture that would contain and LLM, service and system layers and a host of proprietary, regulatory and industry libraries in order to realize the promise of AI. What does this imply for all those companies that have cobbled together their IT infra over decades? What about data integrity? What about Security and system updating? Will enterprise allow workers to build agents to automate work? What does an integrated ecosystem actually look like? While we're well along in the development stage, the application stage of AI is going to be constrained by energy an expense. All feedback is welcome.

This checklist is excellent—thanks for sharing. Since we’re still early in our AI journey and don’t have a formal policy yet, I’d suggest we start small: maybe identify a pilot use case tied to a current workflow, and at the same time, draft a basic internal guideline around safe AI use (data types, tool approval, etc.). We’ll also need cross-functional input from IT, HR, and Legal, so we align early and avoid blockers. I believe we can find some quick wins, like automation of low-risk tasks, that show real value and build momentum.

Dear Claudia Alcelay,
Thank you for your insightful question regarding the integration of AI into our clients’ operations. At PRORD Human Capital and Innovation Management, we are indeed implementing several key strategies to ensure a smooth and effective integration of AI technologies. Here are some of the measures we are taking:
1. AI Readiness Checklist
We utilize a comprehensive AI readiness checklist to evaluate our clients’ current capabilities and identify areas for improvement. This includes assessing their infrastructure, data management practices, and workforce AI literacy.
2. Low-Risk Use Cases
We start with low-risk use cases to explore AI’s capabilities without significant risks. This approach allows us to demonstrate the value of AI while minimizing potential disruptions.
3. Technological Infrastructure
Ensuring that our clients’ technological infrastructure is up-to-date and capable of supporting AI implementations is a priority. We work closely with them to enhance data quality, accessibility, and overall operational efficiency.
4. Operational Efficiency
We analyze our clients’ workflows to identify areas where AI can streamline processes and increase efficiency. This often involves automating manual tasks and optimizing operations.
5. Organizational Culture
We emphasize the importance of fostering an organizational culture that embraces innovation and change. Successful AI implementation requires a team that is adaptable and open to new technologies.
6. C-Suite Buy-In
Securing buy-in from the leadership team is crucial. We ensure that our clients’ leadership understands the value of AI and is committed to its implementation, recognizing its potential to automate tasks and improve efficiency.
7. Release-Readiness Checklist
We develop a release-readiness checklist for Gen AI-based products. This checklist helps our clients evaluate key aspects such as performance, monitoring, and deployment strategies.
We believe that these strategies are essential for successfully integrating AI into our clients’ workflows and achieving their business objectives. If you have any further questions or would like to discuss this in more detail, please feel free to reach out.
Best regards,
Francis
