The company still did not provide any strategy on that. However there are some restrictions to use AI tools for not having any leak of data. The some privacy rules are defined. In following road map would be have an closed AI cloud based system most probably. The staffs did not informed about it yet.

Of course, we used a tool like ChatGPT to Regenerate the email in a professional and concise way, as well as to reformulate the meeting agenda, as well as in the steps for implementing some work. It was tested in analyzing some files related to costs, and now we are trying PMI Infinity, which is great as it deals with the Arabic language iand deals better with the English language.

Claudia, this is a great question. However, given the nature of what we do as consultants, we haven't yet started preparing for this but would be very interested to see what other professionals and organizations are doing!
I work in higher education and we are just beginning to explore the benefits and ethics of using AI and have not yet begun to assess our readiness, but I do think it is on the immediate horizon.

As an organization, we are yet to start utilizing any specific checklists or protocols within your projects or company to assess your readiness for working with Generative AI data. But we looks at the references and historical data. Personally, I have started using Infinity at deriving structured outputs to queries related to courses being undertaken by me. And I must confess that I need to edit the outputs to a fairly good extent.

a. Preparation of minutes and reports.

My role in managing multiple departments, including HR, finance, and project management, has given me insights into the preparation required for adopting new technologies. In our organization, we focus on readiness in several key areas that would also apply if we were to integrate AI:

1. Data Privacy and Security Protocols:



We maintain rigorous data privacy standards, particularly when managing sensitive information across departments. These protocols ensure that, when the time comes, any AI integration would be aligned with our data security requirements.

2. Infrastructure and Technical Assessment:



Before adopting new tools, we conduct thorough evaluations of our systems to confirm they can support advanced functionalities. This readiness approach would be essential in handling the resource demands of AI technologies.


3. Training and Change Management:



As with any new technology, we prioritize training and change management. Preparing our team to understand, accept, and effectively utilize new tools is critical. We’d approach AI adoption similarly, ensuring team members are equipped with the knowledge and skills needed.

4. Ethical and Operational Guidelines:



In our project management and operational protocols, we emphasize ethical standards and unbiased practices, which would be crucial when working with AI-driven tools.

Although we haven’t integrated Generative AI yet, these foundational practices position us well to responsibly and efficiently adopt such technologies in the future.
