When preparing for integration of Generative AI into workflows, having structured checklists and protocols is essential for ensuring readiness and alignment with business goals. Here are some strategies commonly utilized in project management contexts to prepare for such integration:

Data Governance and Privacy Checks: We prioritize data governance protocols, ensuring compliance with privacy laws (like GDPR) and ethical guidelines. This involves assessing data sources for quality and privacy compliance before feeding them into AI models.

Risk Assessment and Mitigation Protocols: Generative AI carries unique risks, so risk assessment checklists are developed to address potential biases, security issues, and unintended consequences of deploying AI-generated content.

Quality and Output Validation: We establish clear criteria to validate the quality of AI-generated outputs. For example, checking for coherence, relevance, and alignment with brand voice or project objectives before anything is published or implemented.

Training and Upskilling Checklists: It’s crucial to ensure that the team is AI-ready. This includes setting up training sessions and certifications for team members on AI-related tools and best practices, as well as ongoing knowledge sharing.

Integration and Compatibility Testing: Protocols are in place to test the compatibility of Gen AI tools with existing project management software or CRM systems (e.g., Salesforce). This ensures a smooth transition without disruptions to current workflows.

Stakeholder Communication Plans: Effective communication is key, so we include steps for informing stakeholders about the purpose, limitations, and benefits of AI integrations. This builds understanding and buy-in across the organization.

Performance and ROI Tracking: Post-implementation, KPIs and performance metrics are closely monitored to measure the ROI and efficacy of Generative AI in achieving project or company goals.

These steps help maintain control over the impact of Gen AI tools and facilitate smooth integration into established workflows.

I believe it is a nuanced process, but following a general strategy checklist could start with:

Readiness Assessment: Conducting a thorough assessment to determine the current state of AI capabilities, including infrastructure, data quality, and team skills

Data Governance: Establishing strong data governance policies to ensure data privacy, security, and compliance with regulations

Pilot Projects: Running pilot projects to test the feasibility and impact of Gen AI in a controlled environment before full-scale implementation

These are great insights. I am new to AI but interested in data management and would want to learn more to effectively apply in my organization

Nothing specific yet. We are slowly trying to integrate Ai within the organization, identifying where it fits best and how to use to optimize our days, improve client impact and other. It's been a journey and were are not quite there yet.

Claudia, this is a great question. However, given the nature of what we do as consultants, we haven't yet started preparing for this but would be very interested to see what other professionals and organizations are doing!
I have not had the opportunity to use AI in a start-up organization yet, however; some of my colleagues have tried using AI assistants for capturing minutes from Zoom meetings. This approach has been somewhat successful.

Hi there,

sometimes we utilize genAI assistant for recording important meetings, which is good for capturing meeting notes.
We also use it for research during the discovery phase for an initiative or big feature, sometimes it provides good consolidated data about a variety of options in the domain.
