Are you utilizing any specific checklists or protocols within your projects or company to assess your readiness for working with Generative AI data? Hi Claudia,

My organization is using AI to produce meeting notes, action items, and executive summaries of calls. I am learning how else I can use AI to benefit the PMO relative to the data points captured across all the projects. I have an idea of providing project retrospectives to AI to discern and identify patterns and areas of opportunity.

At this point the organization I worked for drives the various version of AIs implementation and governance policy. The most current use is for large data set analytics. I personally use it to assist me with project charter, CONOPS and requirement document development.

We have set up an AI practice forum to support our PMs. They have demonstrated tools and are available to support us. We continue to have brown bags online to help expose what is possible.

Documentation Automation: Create, summarize, or translate SOPs, project charters, and reports.

Data Analysis & Visualization: Auto-generate dashboards and insights from structured data sources.



Tool: Tableau + GPT plugins, Excel with Python/AI functions

In my current work context, I have seen AI used most in the Automation and Assistance domains, with having AI assistants take notes for meetings, summarize notes, draft documents, and other things that help us reduce the mental overhead of "busy work."

Claudia, this is a great question. However, given the nature of what we do as consultants, we haven't yet started preparing for this but would be very interested to see what other professionals and organizations are doing!
Pending adoption, some investigation have been done and outcome presented to baord. It's a complex decision. Cost and implementation plan under assessment.

There are definitely several databases or ERP systems from which AI can be incorporated. I believe people would welcome AI immediately to help with repetitive, labor intensive tasks, or reporting.

I asked this question to ChatGPT and surprisingly, I received different answer depending on prompts given.

I worked in Pharmaceutical industry and manage Computer system validation projects which requires very high Qualification and validation and I am yet understating how it can be utilized within Pharma validation projects.

For sure, we are implementing specific checklists and protocols to assess our readiness for working with Generative AI (GenAI) data. Our approach is structured around the following key areas:
1. Assessment of applicability of AI
2. Risk Assessment of AI Implementation
3. Data Quality and Compliance
4. Ethically responsible AI
5. Prompt testing protocols
6. Workflow & Integration
7. Compliance to regulatory requirements
8. Cost analysis

Thank you for raising this important topic—I really appreciate the opportunity to engage with the community on this.
At the moment, my organization hasn’t officially adopted Generative AI, but I’ve been proactively training myself on the technology to prepare for its future integration. I’ve been experimenting with GenAI tools in my daily work to better understand their capabilities, limitations, and potential use cases.
Once we move toward formal adoption, I plan to develop or follow structured checklists and protocols to ensure responsible and effective implementation—focusing on data security, bias mitigation, and workflow optimization.
I’d love to hear from others in the community about their approaches—what frameworks or best practices have you found most helpful, and how others are balancing innovation with risk management—any protocols or tools you recommend?
