The company I worked with has been experimenting with the low hanging fruits that AI can offer related to project administration documentation. Within the actual SW development/testing cycles machine learning and their associated algorithms have long been in use. It is used in both reactive control scenarios, and predictive solution scenarios that are embedded in our final products.

I have tried to use GenAI to help figure out ideas, start to develop draft write-ups and templates for different forms of communication, and also to do some project-based excel worksheet creating. I've been able to produce documents much easier without issue and increase my options for use of time.

We have used Generative AI to optimize project schedules by analyzing past project data, resource availability, and potential risks. The AI model generated schedules that minimized downtime and resource conflicts, leading to a more streamlined construction process.

Unexpected Success: The AI identified opportunities to parallelize certain activities that we hadn’t considered before, reducing the overall project duration by several weeks.

Role of Data: We relied on historical scheduling data, resource utilization reports, and risk assessments to train the model. This data helped the AI learn patterns and predict potential bottlenecks, enabling it to create more efficient schedules.

However, we encountered the following challenge:
Challenge: Integrating AI-generated solutions into existing workflows was not always straightforward. The team had to adapt to new ways of working, which initially led to resistance and delays.

Solution: We introduced training sessions and workshops to help the team understand the benefits of Generative AI and how to integrate it into their daily tasks. We also gradually introduced AI-driven processes, allowing the team to adapt at their own pace.

Benefit Realized - Increased Efficiency: The use of Generative AI resulted in significant time savings across various aspects of the project, from design and scheduling to site management. This increased efficiency translated into cost savings and faster project completion times.

Gen AI is helping in many projects doing some risk assesment and improving quality documentation. The risk job that we are doing is awesome. At first time didn't have the expected results, but after I attend the Gen AI Webinars, have been much better.

My experience is just with meetings, so I can organize ideas rapidly with the meeting notes to reduce time in those activities; and on a technical side we are beginning with a small project to implement a virtual assistant, is like a baby that you are teaching. In this case the importance of having the properly data is everything, because this little baby has to become an assistance that aid people in the properly use of systems

I think we have to be quite careful how we use this technology and not allow it to usurp our creative artists and voice over actors for cheap and easy content creation. Using GenAI for tasks like taking notes or providing meeting summaries and to aggregate data for teams to action on I think are good places to start.

Generative AI has shown remarkable successes in several areas:

Image Generation: Tools like DALL-E, Midjourney, and Stable Diffusion have revolutionized how we create and visualize artwork and design, allowing users to generate complex and high-quality images from simple text descriptions.

Text Generation: AI models like GPT-4 can produce coherent and contextually relevant text for a variety of applications, including content creation, storytelling, and customer support.

Music and Sound: AI systems can compose original music, generate soundscapes, and assist in mixing and mastering tracks, broadening the creative possibilities for musicians and producers.

Code Generation: AI models like GitHub Copilot can assist in writing and suggesting code snippets, improving productivity for developers and simplifying the coding process.

Personalization: Generative AI is used to create personalized content, from recommendations in streaming services to tailored marketing materials, enhancing user experience and engagement.

These successes illustrate the versatility and potential of generative AI across various domains, transforming how we create, interact with, and consume digital content.

I rely heavily on generative AI for various aspects of project management, from meeting recaps, creating hotlist and next steps to developing GPTs for proposal creation and risk assessments. I also use it to develop project plans. Honestly, there's a lot I use it for, and I use it every day. It's been an incredibly helpful assistant.
