As project managers, we're all familiar with the complexities of closing a project and ensuring a seamless handover to operations. The transition phase often involves intense aftercare and hypercare to prevent disruptions and manage any unforeseen issues that may arise. I'm interested in learning about the common obstacles you encounter during this phase—whether it's related to knowledge transfer, resource allocation, stakeholder alignment, or other factors.

Eduard, in construction, closing a project is often challenging, as there are typically a number of outstanding deficiencies even after the city grants occupancy approval. One approach that has worked well for us over the years is incorporating Deficiency Reporting and Corrections into the project workflow from the start, making it an integral part of the process.

One of the biggest hurdles in finalizing a project and handing it over to the operations team is ensuring a smooth and effective transition. Often, we encounter challenges such as incomplete or outdated documentation, which makes it difficult for the new team to understand the project. In addition, transferring knowledge properly can be complex, and expectations between the two teams may not match. Resistance to change and resource constraints are also factors that can complicate the transition. Overcoming these obstacles requires careful planning, clear communication and close collaboration between the project and operations teams.

No problem with that. While the way of working will depends on the approach taken to create the solution we always have tasks related to it in our project life cycle then we are prepared in advance from the very beginning of the project.

Early identification & engagement of the folks to whom deliverables will be transitioned is key. Other practices which help are having an overlap of those taking ownership with those producing the deliverables and (in the case of vendor-client projects) introducing the client during the project closeout to the operations folks who will support them post-project.

The formal acceptance and complete hand over with ways and process of support. Obviously we care for product usage or bug fixes as they may come. The success of any project lies in its complete usefulness to its full.
