With so many teams now working across time zones and locations, engagement can suffer. What rituals, tools, or communication habits have helped you keep distributed teams motivated, connected, and aligned on shared goals?

Regular communication has made the biggest difference for me. Short check-ins, clear priorities, and creating space for informal conversations help people stay connected, not just aligned on tasks.
I also try to be mindful of time zones and meeting schedules so collaboration feels inclusive rather than burdensome.

I told the team that we were adopting the mindset of an "agreement factory," an "expectation factory," and a "decision symphony." Instead of driving progress through meetings, then generating meeting minutes as "residue" from conversations, we inverted our communication channels. We drove progress through the asset - the document - we knew we needed to align on, and used meetings and emails as the support.

Decision bundles were "productivity."
Meetings were "activity."

We organized work via Five Verbs not Four Adjectives (RACI).
Five Verbs are: Draft, Review, Revise, Approve, Distribute.

Five Verbs prevents over-documentation because as soon as the team couldn't assign all five verbs (on 4 rows in the project plan), we had license to do that work over coffee or at a pub and avoid documentation.

This kept colleagues engaged because they didn't want to miss their "cue" in this Decision Symphony.
RACI has no teeth. Five Verbs is a "RACI with teeth."
Five Verbs serves as "gears" for this Elegant Expectation Factory.
