Hi, I am working towards developing a potential PMO in my organization. I am tryng to figure out the modern ways to have a lesson learned repository. Does anyone knows of a current PPM solution for this?? We already have a sharepoint site, but i find that usually in the course of the project , lessons learned are not tracked effectively by project managers and also it doesnot brings any help for other project managers.
Can anyone guide me towards current lessons learned management solutions?

The best thing you can do is understand this as a knowledge management environment. Read and understand what knowledge management really is. I said that because I have been part of initiatives that has not taking into account this and the original focus was to have a repository and that did not work. And on the other side, trying to add something, knowledge management is critital to gain organizational agility (see Mr Rick Dove“s work "Response Ability").

Aman you may like to set up a portal for knowledge management with each project manager entering his lessons learned for sharing within the organization. Thus over a passage of time a repository would be developed. To begin with certain lessons learnt from last say 30 projects may be entered in this link and made accessible to all project managers for reference.

A method to capture lesson learned and make it effective I think could be add in the internal company procedures about what you have learned under form of checklist. For example if you have learned that it is better to have all the stakeholders on the same page before to start with the projects, add in your internal procedure about how initiating a project to do a kick off meeting with all the stakeholder involved (list them). What do you think about this method?

Hi Paolo, good tip but my concern is about flexibility. When we have a check list we have just the fields available to check this and usually we need to add an issue/information that we didn't think at the beginning of the project. I saw a sample in the internet that PM added a text describing his experience. I'm trying to implement at my company also and I'm looking for a way to store and find the related information later. Hi Aman, Lessons Learnt (LL) is very important and useful part of project management and PMO. Turnarounds / major shutdowns are similar to projects. We have physical assets at geographically apart. Although, LL were captured and documented at the end of each turnaround, however these are ONLY being utilized / Implemented (partially) in respective asset area. There was NO centralized database and No formal sharing with other regions was being done.
We have collated Lessons Learnt for all Turnarounds (TAs) completed in 2014 in single database in excel and analysis has been conducted for 981 Lessons Learnt for 38 turnarounds. Analysis was done and "bad actors" were identified. Now this has been stored in organization intranet and can be accessed by all teams members. This database is being appended continuously.
I suggest you can start with this approach and once business process is established, you can shift to some Project Management tool. Saving Changes...

Interesting discussion. More often than not, we tend to get so involved in the project itself, that a formal documentation on our mistakes and learning therefrom are not noted down. A Knowledge Repository, if created, is mostly done as a separate exercise, which is not the right way to do. Invariably during the project or mostly at the end, one or two persons are assigned the task to create a learning document, just because it is supposed to be made.
To overcome the shortcomings of the above mentioned practice, I agree with Paolo Cornali's method of including this as apart of company's internal procedure. To also do that, it will need to flow top-down, because unless it is made mandatory, there are chances of this critical activity getting abused down the line. Saving Changes...
