Dear Members,
Right now i'm facing the challenge on how to measure benefit & success of Project Steering Committees being held.
We are holding per month 3 to 4 Steering Committees. If on a year 48 to 50 Steerco's being run, finally we want to know what is the success / benefits for this Steerco.
Can i able to measure that ? What indicators i should look into measure ?
Please help me with your expert thoughts.
Thank you. Saving Changes...

Hi Ganesh
Do you have Terms of Reference for any of these Steering Committees? I think that would be as good a place as any to start from.
However, because they are intrinsically linked to success of failure of the Projects they provide guidance and direction for, I’m not sure there would be clear enough delineation to define any meaningful criteria.

Hi Darren, Thanks for your reply I have prepard Streering committee charter with Terms of Reference, but in that i have not specified in measurement.
All i need i we are running some 20+ projects, monthly 1 steerco for each project. that means 20*12 (1 year) = 240 steerco would have got completed, based on the that what we have gained.
what i see is as follows :
1. Decisions / Support from management.
2. streamlining the projects.
3. Escalations.
I would like to know how i can measure the success / benefits of this steering committee meetings.
Thank you Members. Looking forward your reply. Saving Changes...

You measure the success by seeing if the governance and ultimate success is better because of having the decision-making group. You could look at how long it takes to make decisions - perhaps it is faster because everyone knows the framework and they are able to make the right decision more quickly with the right management information.
You could consider merging some of the steercos, because if there are projects that use similar resources or have simliar clients you could discuss the projects in the same forum.
I'm not aware of any particular other measures that you could use to measure the benefit of what is, essentially, a meeting. Saving Changes...

Hi Ganesh,
You could measure the process (governance by SteerCo) and the outcome (efficiency, satisfaction levels etc).
As for process, a metric I always found useful is the attendance level of the SteerCos, which points to the best composition and efficiency of the meetings, the latter must be be managed by each PM. Also quite simply, when are invites/agendas sent out to allow for upfront reading, when are the minutes published and what is the decision making time (as Elizabeth suggests).
As for the outcome, a team sentiment survey after each SteerCo measures satisfaction of participants. Other metrics should be tightly related to your terms of reference to be of relevance. Saving Changes...
I agree with the line of thinking from Elizabeth and Thomas. I added a few more comments to hopefully provide specificity in terms of conversion to metrics/measurement... You could develop some tangible metrics from 2 perspectives: Usefulness of these meetings to you/the PMs and the projects; Usefulness of the meetings to the members of the Steering Committee.
1.
Average no. of issues brought to committee at each meeting =
Average no. of issues resolved at same meeting =
Average no. of issues resolved after current meeting but prior to nex meeting =
You can replace "issues" with "risks", "decisions" or whatever is most applicable in your scenarios (terms of reference)
2. A survey, based on Thomas' idea...
On a scale of 1 to 10, how satisfied are you with this aspect of the meeting _____________________?
You could develop additional survey questions using a list of 'aspects' per the terms of reference, and measure the satisfaction scores over time. Saving Changes...

Dear Elizabeth / Thomas / Samuel, Thank you so much for your kind inputs. Very useful to me.
Based on your inputs following is my takeaway for further analysis :-
1. Time taken for decisions.
2. Attendenace level of Steercos
3. Survey for Steerco. Scalre of 1 to 10 - how satisfied.
4. No.isssues/Risks brought to committee at each steerco.
5. No. Issues/Risks resolved at the same meeting.
6. No. Issues/Risks resolved after the current meeting but prior to next meeting.
I'm planning to add Action items, bcoz at the end of every steerco we have some action items.
>>>> Any other Metrics we can add ? <<<< Members pls help me.
Also you are mentioning about Terms of Reference, Could you please help me with sample ? it can be sent to [email protected]
I have developed charter for Steerco, but in that i dont have something Terms of Reference.
What i have is 1. Agenda & Mission, 2. Frequnecy, 3. Attendees, 4. Deliverables (Input / Output), 5. Meeting agenda template.
Thank you. Looking forward your reply. Saving Changes...
An other output you should be able to get is a interesting input for lessons learned. Base on success or failure of actions taken by the committee. Saving Changes...
