Meetings Vs Telephonic Communication

There was a time when telecommunication was not readily available to everyone and had to go and do meetings. Has this evolution to better collaboration tools been positive or negative..

Pros and Cons
Pros - access to team members if they are unwell ; They can call in to the meeting rooms

Cons:-
You still know and acknowledge that Body language is a key part of communication and you are more likely to influence the person if they are physically in front of you. That is not the case when you are over the phone. You can even misinterpret a well meaning person over the phone

From my view is a communication by meeting is more effective than the phone because you can communicate with others not by words only, but with body language (face expression, hands signs, eyes and voice tone). The communication by phone may is good in some case, such when you don’t have time to conduct the meeting face to face. But you will deal with words only and you will miss the body language that is important in most cases.

What you want out of the meeting, and the constraints of the meeting (ie. time, location of attendees), will determine which method is best to use.

Whichever communication mode is preferable to the other party based on the scenarios.

1. Always better to have meetings (In-person) if your agenda is to finalize financials, project discussions, decision sharing, Feedback sharing,planning of projects etc.
2. Whats app, Phone calls would be preferable if single person in loop to take on followups or scheduling meeting timings.
3. If more than 2 peoples are involved then Email would be preferable.
4. In case of in-person or video calls meetings, sharing of MOM after meeting would be preferable.

You can definitely save a lot of time resources by using remote meeting methods, (i.e. phone, GoToMeeting, Skype, etc.). From that stand point I have used these methods quite a bit in the past.

I also fully agree with Deepesh and Hawazin that you cannot communicate completely or as effectively over a phone as you can in person. If I compare meetings that I have conducted remotely using Go To Meeting -vs- in person team meetings conducted in a conference room, I had much more productive and effective meetings in person.

It really does come down to the factors that are present at the time a meeting is needed. You may be bound by time or location constraints and have no choice but to hold a meeting remotely as Sante already stated.

Thank you Prashant for your tips on prioritizing types of communications. I agree that to distribute minutes or talking point summaries following any meeting is a very good and professional practice.
