Prioritization Matrices

A prioritization matrix is a 2×2 matrix designed to help you discern which tasks/projects are “Critical and Urgent,” so you can focus on what matters most.

Prioritization matrices can be used by:

  • CEOs – This allows you to look at the big picture while being able to zoom in to see the little things
  • A small business owner
  • Leaders of organizations (churches, non-profits, etc.)
  • Students – A specialized To-Do list that allows you to keep track of assignments, projects, and due dates.
Typically, prioritization matrices have these four quadrants:

1. Crucial, urgent (do right now) 2. Crucial, not urgent (do soon, execute a task plan) 3. Not crucial, urgent (delegate) 4. Not crucial, not urgent (delete, don't do)

A Prioritization Matrix is useful to view and update evaluation scores for all projects and programs within the portfolio. Use the evaluation scores to prioritize and select the right projects or programs for your organization to pursue based on quantitative data. Before you can view your portfolio's prioritization matrix, you must create evaluation categories and rank your projects or programs against them.
