In my previous blog, I stated three reasons why AI will not be able to replace project managers.  That should not make anyone complacent.  AI will change how projects are managed, and in this blog, I explain three areas where AI will replace the project manager functions and deliver improved project performance.

  1. Administrative tasks.  Tools already exist to perform functions such as organizing a meeting and creating a project status report.  Known as Robotic Process Automation (RPA), this clever software captures a standard sequence of events familiar to project managers but adds the ability to handle more complexity.  When searching for a meeting time, RPA checks calendar availability for all participants books the time, and sends out meeting invitations to reserve the time.  
  2. Decision making.  The first step for better decision-making is to build a knowledge repository.  This requires a well-conceived data strategy and comprehensive data capture on the selected issues.  For example, once the actions are captured that successfully resolve an issue, that action can be used again when faced with similar conditions.  Imagine capturing issues and risk responses for every project in the organization over ten years.  That becomes a valuable resource for decision-making that can be successfully utilized to avoid the bias of a human project manager making a decision. AI can review and analyze vast amounts of data faster and more effectively than humans.
  3. Team building.  Pundits continue to suggest that AI can never handle the people side of managing projects without providing evidence to support their position.  One survey revealed that a majority of employees would rather work for a robot than their current manager.  How does a robot build a strong team?  AI tools capture sentiment analysis to better understand the performance and feelings of project team members.  This analysis is used for actions such as providing additional communication, clarification, or customized individual communication.  Next, based on task performance, an AI software agent provides unemotional, unbiased feedback to project team members on an individual basis.  Each team member now has a private coach to enhance their work habits, skills, and personal development. 

An AI-based project agent will eventually be much better than a project manager in these areas.  I will not predict when this will happen since it depends on a comprehensive change management process as AI-based tools are deployed in the project methodology.  Achieving the result also requires collaboration between a project manager and AI tools to make this vision a reality.

It will also require a collaborative approach, where project managers work alongside AI tools, leveraging the strengths of each to enhance project performance.

What skills will become more important as certain tasks are automated? When reading your description about RPA's (which do not necessarily have AI incorporated), I imagined project managers free from all tasks that do not add value to their activity

When I read the part dedicated to the decision-making process, I put some ellipses in it. We all know that there is a big bias in some suggestions coming from artificial intelligence programs.

The part that shocked me the most was imagining human beings being "educated" (or manipulated?) by artificial intelligence programs. My imagination went to the "brave new world"

Every time that I read about AI, I'm feel overwhelmed because I can't imagine the poor countries working without totally access to the technology to develop the big changes that countries need. Africa, still can't solve the troubles of hungry and poverty. However, I know the importance of the AI in the all aspects about project management, the impact is and will be possitive, like Decision making and the time for the Project Manager. But, I think the AI can't help too much emotional intelligence because is an exclussively human.

Hi Paul, Interesting read, and i have made a comment on this earlier on LinkedIn and another one today appending your article Definitely, leveraging on GenAI tools to perform mundane but required administrative tasks for project managers, helping to make important decisions when managing projects, provide options for team building and stakeholder engagement strategies, etc. are really helpful, but one has to also validate the responses from GenAI tools, improve on it further, be aware of any bias in the data, and insert the human touch and face to face interactions as needed, that is the value-add that project managers bring, which makes PMs irreplaceable, similar to professions such as classroom teachers/trainers, workshop facilitators, etc..

Thank you once again Paul for really good insight/article, and a stimulating dialog within the AI & project manager space.

I’m struggling a little with the statement that “AI will replace the project manager functions”, but indeed believe when leveraged correctly will deliver improved project performance.

As in the domain of data management, where “data stewards” from different business areas are a critical part of ensuring quality data and business context, I see the role of project managers taking up a similar area of responsibility.
e.g., Project managers who have embraced AI based prompting skills …etc. will be needed to secure & supplement that “Human verification” role to enhance the quality and correctness of the generative AI responses for the project initiatives... (as also stated by others here.)

This is really an exciting period and a next stage for us as project managers to level up our skills or just maybe, we will be replaced.
