There is a question of the goal of communication you have in mind. Do you need people to absorb the information? Do you need them to comment or make decision based on the information provided by you?
Usually, I would choose a tool that is familiar to the stakeholder. Excel or PowerPoint is often fine.
The perfect way however would be a well written plan shared before the meeting, a then the meeting only to explain key points or to answer questions.
As per rule - one wants to ensure that common understaning is reached. So face-to-face meeting where one can interact and flexibly adopt to the needs of other party is the best tool there is out there. Saving Changes...

Who is the audience. Can use PPT (office timeline add-on) or diagram tools like Visio, etc, or tools like MS Project, combination of MS Project/SharePoint, or Excel. We use JIRA now, so, ends up being a combo of JIRA and Excel. Saving Changes...

Guys thanks for your answers - really appreciate it. Looks like majority of us use PowerPoint and MS Project. I wanted to ask just to be sure that I am not missing on any latest tools to boost my productivity
I do spend a lot of time working on powerpoint. Do you guys know any websites or resources to download PM templates to quickly edit to build my presentations? It does take a lot of my productive time working on presentations which I absolutely feel could be used for my core work

As I mentioned before, a project plan is a document that have the needed information to answer five questions: what? when? who? how? how much it cost?. So, 5-6 slides are enough. In my case we use office timeline to present when? (including you can export the data directly from ms project) where you have a free version of the tool and we use visio to present who?. On the other side, you will find lot of templates for free including you can find them into Microsoft website.

Spend time to create a set of template slides. Can use 'Smart Art' for visuals and color to match your org's schema. As mentioned before, I also use 'Office Timeline' which is an add-on for PowerPoint. With this you can import from Excel or MS Project tasks, summary, milestones, to show timeline in PPT.
With building a warehouse of templates, you can not only remain consistent, but reduce effort by simply inserting content.

Thank you for your inputs. As you correctly mentioned about free microsoft templates, Those templates are good but sometimes I do not get the right templates I am looking for . I try and look for online template libraries where I can get the desired PowerPoint templates. I recently came across some PowerPoint template websites where you can find professionally designed business templates. You can also give it a try. I have mentioned the websites below :
