I work in IT PMO. Recently I have submitted project proposal with resources costs rounding to 20K. The proposal was approved by business team in one department, later this project moved to other dept. After 1 week, few of my resources come to me saying that I need to bump up project costs as resources costs were calculated with their allocation as 6% instead of 60%. The new costs are coming to almost $45K
As a protocol within our team before Submitting any proposal to Business Team, PMs usually review the final resources costs with all team and then submit to Business Team. No questions were raised by our team then. When I asked my resources, they kind of kept quiet of not pointing fingers at each other and I understood :)
Later my project got moved to some other Business dept and One good thing happened though, earlier we have provided proposal with estimates for one country web site to old Business team and now the new business team asked us to work on getting estimates for 5 more countries as this is addnl scope. After investigation, we realized that there is no addnl. costs as its just small tweaks we need to make in code where change gets refreshed to multiple countries.
Im not sure how to communicate these missed project costs in proposal? What should be my communication to Business team? How can I still be sweet, nice and get the approval for new project costs? They know Im working on estimating other countries though. How should my mail content look like? Saving Changes...
