what can be the next steps to launch a process to assess for improvements?

I would like to know the steps/different processes which can be used after gathering the lessons learned and probabilities to use them in future for better project delivery.

To be effective, leassons learned has to be included inside a knowledge management environement. Take a closer look about what knowledge management environment is. Knowledge management environments are critical to gain in organizational agility. About process, while it will be part of your knowledge management environement definition, nothing new about any other type of process definition steps.

The best way to use or refer the Lesson learned for future projects is to have them Organizational Process Assets. This is the standard location for all upcoming and existing projects to refer not only lessons learnt but also various other viz. Standardized guidelines, Work breakdown structure templates, Change control procedures etc.

Aejaz is correct. Organizational Assets are the place where lessons learned belong.

I often find that Lesson Learned highlight misuse of Organizational Assets. In those cases, it's not so much about updating the OAs as it is to provide training in the appropriate use of them.

My Query is different :

Hi , I have a lessons learned log implemented for one of the program that I am taking care. I need to develop a process to assess for improvements using those lessons learned. Can you guys please share me some good ideas in which I can use the lessons learned details to initiate the steps for improvement in my program which can be used by all team members to further avoid the same mistakes.

Robin, if the lessons learned are used to update the Organization Process Assets, such as templates, training and checklists, then new project managers will automatically benefit from past projects' lessons learned.

As for the program team, it should be analysing to see if lessons learned highlight gaps in the OPAs. Once the gaps are identified, you can have a program-internal project to fill them.

The nature of the gaps usually highlight how the gap can or will be filled.

For example, if project managers are not filling a form properly (the gap), you can modify the form to enhance clarity and/or you can develop/deliver training on how to properly complete the form (filling the gap).

There are many different lessons learned depending on the size of your project or program. Using the lessons learned is going to be based on the governance strength within your organization. The organization asset should be the living and breathing documentation that lives on the edges of CI (Continuous Improvement). To be effective implement an Organization Asset improvement board that takes lessons learned and focus on the continuous improvement of the following:
• Policies
• Procedures
• Standard template
• General guidelines
This will tie in nicely with a learning and education program for your projects managers & stakeholders on how to utilize the updated OA.
