From the PM perspective, is there a best or worst day of the week to send out project related emails? George Lewis asked the community this question regarding their communications management, risk management, and scheduling concerns and has received a plethora of quality responses.

The discussion has ranged to cover the context of the message, it’s relevance in the project communication plan, and the urgency of the audience’s need to receive the information. Nurlan Yelmuratov shared his views with the following insight:

“I personally think the best day to send a regular e-mail is the one that precedes the major scope of work for the week or after that (Monday, Friday).

The worse moment for it is in the middle of the intensive team work, which might distract the team.”

I think timing of regular emails has a big impact on its reception. I have found emails sent late Friday or very early Monday are received best. The aim being that the team member receives the email on a Monday morning, when people are typically planning out their week. This acts as a memory jogger and a reminder of priorities.

Messages late Friday are hard if you want a speedy answer, but if you can wait until the next Monday, they work! Otherwise, I like sending emails first thing any morning so that they're at the top of the email stack!

Monday at noon is the best day to send task and "to-do". The best time to send reports is friday before lunch time.

I agree with the point mentioned by the author . I prefer sending the weekly status reports on every friday and the weekly action plan/work assignment during the Monday morning. But again , there are no hard and fast rules .

Great comments! and I agree my recommendation its to send the TO-DOs on Monday, it gives the team more time to execute the tasks.
