A set of interrelated techniques and/or activities, undertaken to achieve specific project goals and objectives in a timely-framed manner. This includes, among many other techniques, project estimation, resource planning, objectives setting, task scheduling, and project administration. To successfully manage projects, all project activities employ the justify, plan, activate, control, and end (JPACE) construct. These "management" tasks also need to be modeled in the project plans that are developed for all projects. Project management tools are often required and are helpful in estimating resources and timelines.

Applications

  • To estimate task time frames.
  • To plan and assign resources.
  • To define coordination activities.
  • To manage the team performing the activities.
  • To report on project status.
  • To control the project, and enable project coordination.

Procedures

  1. Define project approach.
  2. Identify project tasks.
  3. Determine resource availabilities.
  4. Produce project schedule.
  5. Assess risks.
  6. Confirm project plan.
  7. Activate project.
  8. Manage project execution.
  9. Control project.
  10. End project.

Instructions

The objective of "Define Project Approach" is to develop a clear vision of the project in terms of objectives, scope, deliverables, and tasks (see Objective Setting), based on the outcome of transition planning activities (See Transition Planning). Confirm project tasks and decompose the work breakdown structure, according to standards being used. Identify task dependencies, sequence, and degree of overlap. For every task and sub-task, check to include descriptions, deliverables, estimated resources required, and role assignments. Modify as required based on resource availability. (Use templates if available, adjusting assumptions as required.) Use a project management tool to produce a schedule. Modify the schedule to reflect any key dates and/or fixed duration activities.

Determine any risks, and produce a final plan. Review plan with stakeholders. The completed project plan should contain the following:

  • Introduction
  • Project objectives and scope
  • Project constraints and assumptions
  • Project financials
  • Project risk assessment
  • Project tasks and deliverables (work breakdown structure)
  • Project approach
  • Tools and techniques to be used
  • Resource estimates
  • Project schedule and milestones
  • br/ In addition, the project plan should include the following attachments:

  • Project standards, including documentation
  • Change and control procedures
  • Project calendar
  • Detailed project schedule (resources, roles, work breakdown, etc.)
  • Details about tools and other technology
  • br/ The objective of Control Project and End Project is to keep the project progress in line with the project plan. This is achieved by reviewing project status and resource usage, and taking corrective actions as needed.
