Introduction

In today’s fast-paced business environment, there is a lot of hype about the growing use of AI tools. The profession of project management is no different. Project managers are always looking for innovative ways to improve efficiency and overall project success. One such innovation is the use of conversational and generative large language AI, like ChatGPT, to enhance various aspects of project management. I have become a heavy user of ChatGPT in my project management consulting and teaching roles and so I thought I would share with you 15 ways you can use ChatGPT to deliver projects more successfully.

1. Idea Generation

Stuck on a problem? Use ChatGPT as a brainstorming partner. The AI can provide creative solutions for project hurdles, offering a different perspective that you might not have considered.

2. Quick Research

Need to get up to speed on a specific topic? ChatGPT can provide quick summaries and insights, helping you make informed decisions without spending hours on research.

3. Drafting Communications

Save time by letting ChatGPT draft your emails, project updates, or meeting agendas. Once you have a draft, you can fine-tune it to better fit your message.

4. FAQs for Teams

Eliminate repetitive questions by implementing a ChatGPT chatbot to answer frequently asked questions from your team. This will free up more time for you to focus on critical tasks.

5. Documentation

ChatGPT can assist you in generating the first draft of project documentation like manuals or best practice guides. This helps you get the tedious parts of documentation out of the way quickly.

6. Data Interpretation

For quick insights on simple data, ChatGPT can be a helpful tool. Although not a substitute for specialized analytics, it can provide a general understanding of trends.

7. Task Delegation

ChatGPT can draft lists of tasks that need delegation. While it won’t know your team’s specific capabilities, it’s a great tool for creating a starting point for delegation.

8. Mock Interviews

Prepare for important stakeholder or client conversations by role-playing scenarios with ChatGPT. This practice can help you refine your communication skills and strategy.

14. Feedback Analysis

After gathering team or stakeholder feedback, use ChatGPT to categorize and summarize the comments. This makes it easier for you to analyze and implement the feedback effectively.

ChatGPT can offer general insights into market trends and customer preferences. While it should be supplemented with specific research, it’s a great starting point for understanding your project’s market context.

Conclusion

Incorporating ChatGPT into your project management strategy can result in significant time savings and even offer novel approaches to common challenges. From brainstorming and drafting communications to data interpretation and risk analysis, ChatGPT is a versatile tool that every project manager should consider adding to their toolkit.

Remember though that the information you get out is only as good as the prompts you put into the software, so spend some time learning how to write good prompts. There are plenty of online resources to help you do this and of course you could just ask ChatGPT how to write a good prompt.

This article has focused just on ChatGPT because that is what I am used to using. I have tried some of the other language AI but at this point in time (October 2023) I haven’t found any as good as ChatGPT. The world of AI is very fast moving so it pays to stay up to date with the latest and best innovations.

Also, there are many other AI out there doing everything from data analysis, transcription, meeting notes, imagery etc. I couldn’t list them all as as soon as I published this the list would be out of date.
